Currently, we are in search of an experienced part-time administrative assistant/receptionist who can also work additional hours as needed. We are particularly interested in individuals with a background in administration within a private counselling and psychology practice.

 

To thrive in this role, you should have a strong work ethic, a willingness to stay engaged, the ability to adapt to new software and processes, organizational and methodical skills, and effective time management abilities, allowing you to handle multiple tasks concurrently.

 

The ideal candidate will possess excellent interpersonal and communication skills, as well as proficiency in written and word processing tasks (e.g., Excel, Word, emails). Responsibilities of the Role: 

  • Answering phone calls and emails

  • Scheduling client appointments

  • Liaising with referrers, GPs

  • Using practice management software to maintain client records

  • Processing client payments and rebates

  • Always maintaining client confidentiality

  • Providing administration support to the management and clinical teams

  • Contribute to the ongoing improvement of our processes and systems

  • Ability to calmly multi-task and prioritise, whilst ensuring attention to details

  • Maintaining the tidiness of our lovely workplace

  • Any other duties as may be required

Please note: This position will transition to a permanent part time position. 

Essential Selection Criteria: 

  • 2+ years reception experience within a healthcare practice, ideally counselling and psychology

  • Competence in the use of practice management software (we use Halaxy)

  • Demonstrated excellent time management skills

  • Proficient in the use of Microsoft Office applications (e.g.: Word, Outlook, Teams)

  • Ability to obtain a Working with Children Check and Police Clearance
